A mortgage brokerage was losing hours every week to the same job nobody wanted: re-typing the same client and deal information between the systems they run their business on. New enquiry in one place, then keyed again into the CRM. A deal moves a stage, and someone updates it by hand. It worked, but it was slow, easy to get wrong, and it never stopped.

Project at a glance
  • Provider: Workvolve (AI automation agency, Brisbane, Australia)
  • Client: A mortgage brokerage (Australia)
  • Industry: Mortgage broking / financial services
  • Problem: Client and deal data re-keyed by hand between a loan-origination system and the CRM
  • Solution: Automated two-way sync of contacts, deals and stage changes
  • Technology: n8n, CRM integration (HubSpot)
  • Outcome: 412 syncs per week automated; ~11 hours per week of manual data entry replaced
  • Delivery: Fixed quote, live in about two weeks, full code ownership

The problem

Like most brokerages, they had a loan-origination system and a separate CRM, and the two did not talk to each other. Every new contact, every deal, every stage change had to be entered twice. That is a few hundred small manual actions a week, each one a chance for a typo or a missed update, and collectively a big chunk of someone's time spent on data entry instead of clients.

What we built

We built an automation that keeps the two systems in sync on their own. When a new contact, deal or stage change happens on one side, it flows across to the other automatically, mapped to the right fields, with no one touching a keyboard. It runs on a schedule through the day, so the CRM is always current.

  • Contacts sync automatically - a new client is created once and appears everywhere.
  • Deals and stage changes flow through - move a deal forward and the CRM updates itself.
  • Field mapping handled once - the data lands in the right place every time.
  • Runs unattended - it just works in the background, no manual sync.

The result

The automation now runs around 412 syncs a week and has replaced roughly 11 hours of manual data entry. That is more than a day a week handed back, and a CRM that is finally accurate because nothing depends on someone remembering to update it.

"Ben was excellent to work with on our integration project. He quickly understood our requirements and delivered a solution that was both reliable and scalable. The end result worked seamlessly and saved us a significant amount of time."

The tools

Built on n8n, connecting their existing systems - no new platform to learn, no rip-and-replace. They own the whole thing outright, with no lock-in.
