Xero Automation in 2026: What Xero Does by Itself and What Still Needs a Build
Checked October 2026: what Xero and JAX now automate on their own, what's still beta in Australia, and which jobs need a custom build.
On this page
In late 2026, Xero automates a lot of its own admin. Its AI, called JAX, creates and sends invoices and quotes when you ask, reconciles bank lines it's confident about and reads supplier bills, though Xero still calls most of this a beta. What Xero can't do by itself is move work between Xero and your other systems, like job software, a CRM, a rostering app or NDIS claims.
The short version: turn on auto bank reconciliation, use Smart Document Capture, and check their work while they're in beta. Set up reminders and repeating invoices before you pay for another app. Give auto super a second authoriser. Only build something for the jobs that start outside Xero.
Xero automation, job by job
Google Australia's top suggestions for "xero automation" include features, AP automation, invoice automation and payroll automation. Here's each one, plus the jobs between Xero and your other software.
| Job | What Xero does natively now | What still needs a build |
|---|---|---|
| Bank reconciliation | Auto bank reconciliation (beta, per Xero's August post) reconciles lines JAX is confident about. Bank rules suggest the transaction for recurring lines. | Auto-matching one payment that covers many invoices, which Xero says it's still working on. |
| Supplier bills | Smart Document Capture (open beta) reads the file and gets a bill ready for you to check. | An OK from someone who doesn't use Xero, before the bill is approved. |
| Purchase orders | Bill part of an order as it arrives, and close the rest short. | Raising orders from your stock or job system. |
| Invoicing | JAX creates and sends invoices and quotes when you ask. Repeating invoices cover fixed contracts. | Turning finished jobs in job, CRM or rostering software into invoices. |
| Overdue invoices | Up to five email reminders. JAX payment follow-ups are in early access. | Email, SMS and calls working together, with rules for each kind of customer. |
| Payroll and super | Super is worked out in each pay run and paid once someone approves the batch. | Checking hours and pay items from your rostering app against each pay run before it's approved. |
| NDIS and funded claims | Holds the invoices. Claims to the NDIA happen outside Xero. | Claims and invoices from the same roster data, with remittances matched to invoices. |
| Reporting | Live reports and JAX answers. Multi-entity consolidation sits in Syft Analytics. | One report that joins Xero with live numbers from your other systems, like roster hours. |

What can JAX do in Australia right now?
JAX (short for Just Ask Xero) is Xero's AI finance partner. It opens as a chat window in Xero, and since August 2026 it's in the Xero Accounting app too. Xero Central's JAX page says it can currently:
- create, edit, approve and send invoices and quotes
- answer questions about your revenue, profit and cash flow, and compare you with similar businesses
- read files you upload and answer questions about them
- explain how to use Xero.
The phone access answers one of the fastest-rising Xero searches in Google Trends Australia: how to invoice straight after a job, away from a computer. Ask JAX in the Xero Accounting app.
Xero still labels JAX as beta. What you can use depends on your plan and user role, and in chat it only acts when you ask. Changes it makes show in the invoice's History and notes.
Xero's JAX release notes, updated 13 October 2026, list payment follow-ups as early access. You turn them on for a contact, and JAX plans a chasing schedule that you can review, edit and approve. At Xerocon London in July 2026, Xero also said follow-ups will switch to SMS for customers who don't reply, and that bill protection will inspect every bill before payment. It gave no dates for either.
What about Claude, ChatGPT and Gemini?
Xero's Claude connector page says it's read-only at launch. Claude can answer questions from your live Xero data, but it can't change anything in your books. Our guide to Claude for Small Business covers the setup.
Xero's launch post of 16 September 2026 says its ChatGPT plugin is now live. It stresses that you review the work, but doesn't say whether the plugin can make changes or which countries it covers, so check both when you connect it. A Google Gemini connection announced on 14 October 2026 asks for your confirmation before anything that changes data, like issuing an invoice. Xero's 17 October blog post says it's available now, and neither post lists the countries it covers.
Does Xero reconcile bank transactions automatically?
Yes, once you turn it on for each bank account. Xero Central says JAX only reconciles a statement line when it has high confidence, and only lines that import after you switch it on. Anything else waits for you.
If there's no matching invoice, bill or payment, JAX may apply a bank rule, follow your past reconciliations or predict from how other Xero users coded similar lines.
In its 14 August 2026 update, Xero said the feature was still in beta and had reconciled more than 100 million transactions. Nearly three in four customers in a global Xero survey from April 2026 said it was saving them time.
Bank rules still matter. Without auto reconciliation, Xero only suggests the transaction a rule describes, and someone clicks OK. With it on, JAX can apply your rules for you.
If you come back from leave to find most bank lines already reconciled (another fast-rising question in Google Trends Australia), that's auto reconciliation doing its job. Still check how each line was matched, because a wrong account code or tax rate ends up in your reports. Xero's Australian page says auto reconciliation comes with the Grow plan and above, with an add-on for Ignite, so check Xero's current pricing page before you rely on it.
Bills, receipts and purchase orders
AP automation (accounts payable: getting supplier bills in, approved and paid) is another of Google Australia's top suggestions for "xero automation". Xero now does the first step natively.
Smart Document Capture reads a bill or receipt when you upload it, email it to your Xero address or snap it in the Xero Accounting app. Xero Central says it pulls out the contact, dates, tax, total and line items, then offers a match or gets a transaction ready for you to check and create. It's in open beta for all Australian customers. Xero said in July 2026 that a document is now ready to review in about 30 seconds, where it could take up to 24 hours before.
Approval is basic: a bill is saved as a draft and sent for approval, or approved by someone allowed to. If a site manager who doesn't use Xero has to OK it first, you need an approvals app or a build.
Part deliveries are a rising Google Trends question too: you ordered 100 units and 60 arrived. Xero Central says to open the approved purchase order, click Create bill and bill only what arrived. Repeat when the rest turns up, or close the order short.
Invoices, reminders and getting paid
Repeating invoices handle fixed contracts. Xero creates each one from your template and, if you choose Approve for Sending, emails it. Watch two things. Template attachments aren't added to each invoice, and with Approve for Sending, a first date of today or earlier means Xero approves that invoice without sending it.
Invoice reminders start with three defaults, and you can have up to five, including ones before the due date. They go by email. You can stop them for one invoice or one customer when someone has rung to say they'll pay, and add an expected payment date to record when they've agreed to pay. You can also text an approved invoice once a payment service is connected.
Late payment hasn't gone away. Xero Small Business Insights, published 30 July 2026, found Australian small businesses were paid an average of 6.0 days late in the June quarter, down from 6.9 days in March. Xero calls the June improvement a first estimate that's often revised up. Payroll and Payday Super
Payday Super started on 1 July 2026. The ATO's Payday Super page, last updated 10 August 2026, says employers now pay super guarantee for each payday, worked out on qualifying earnings. The fund must receive it within 7 business days after payday, with some exceptions, such as for new employees. Qualifying earnings and super liability are both reported through Single Touch Payroll, and the ATO's Small Business Superannuation Clearing House is no longer available.
Xero's auto super works out super in each pay run and pays it through its clearing house partner, SuperChoice, once an authoriser approves the batch. Xero's Payday Super FAQ says contributions are typically paid to funds within four business days, and batches approved after the 4pm AEST cut-off are processed the next business day.
Someone has to approve that batch every pay run, so add a second eligible authoriser before anyone goes on leave. Chasing invoices matters too. In a Xero survey of 500 Australian small businesses released on 23 March 2026, 84% said late customer payments could stop them meeting Payday Super deadlines.
If your roster lives in another app, check the hours and pay items reaching Xero Payroll before you approve each pay run.
Worked example: a Geelong cleaning company's month-end
Say a 14-person commercial cleaning business in Geelong. The owner does sales and site checks, a part-time office manager does the books, and twelve cleaners cover offices, gyms and medical suites on monthly contracts. Real estate agents also book end-of-lease cleans by email. They use Xero for invoicing and payroll, plus a rostering app.
First they switch on what Xero already does:
- Each contract is a repeating invoice set to approve and send, and new ones start on a future date.
- Auto bank reconciliation runs on both bank accounts, and the office manager reconciles the leftovers by hand.
- Suppliers email bills to the Xero inbox address, and she checks each one Smart Document Capture prepares.
- Reminders go out on their own, with an extra one before the due date because the agents pay slowest.
- The owner approves super each payday, and the office manager is the second authoriser.
- The owner invoices extra cleans from his phone with JAX as soon as they're done.
Two jobs fall between systems, so they get built:
- End-of-lease cleans were typed from emails into the roster and invoiced from memory, so some got missed. Now an automation reads each booking email, creates the shift and drafts the Xero invoice when the clean is done. The office manager approves every draft.
- Site profit. Xero knows what each site was invoiced, through a tracking category per site, and the roster knows the hours. A monthly report joins the two, so the owner can see which contracts to look at before they're renewed.
The office manager still owns month-end. She spends it checking what's been prepared and fixing the few things that are wrong.
What still needs a build
Xero is good at work that starts and finishes in Xero. These jobs usually need something built, because they cross into another system:
- Jobs or deals from your job software or CRM. Use the native integration first, and build when it stops short. See our HubSpot Xero integration guide and our guide to ServiceM8, Tradify, Fergus and simPRO automations.
- NDIS and other funded claims. Claims to the NDIA happen outside Xero, and plan manager remittances still need matching to invoices. Our NDIS rostering and Xero guide shows where that usually breaks.
- Approvals from people who don't use Xero, with a record of who said yes.
- Debtor follow-up beyond email, like an SMS after the second reminder.
- Reporting across entities or systems. Xero's comparison page lists multi-entity consolidation as a Syft Analytics feature and leaves it out of Xero Analytics. It lists importing external data for both tools, so a build is for reports that need live numbers from your other systems.
Reporting is often the first one worth doing. Research Xero released in August 2026 found 35% of Australian small business owners don't often know whether they made a profit in the last month.
If you send a few dozen invoices a month from one bank account and nothing comes in from another system, you probably don't need a build at all.
I built a compliance setup for an NDIS provider, and they've since brought me back for a bigger build: automatic rostering and invoicing. I've also mapped out a Tradify to Xero reporting flow in n8n, and I'm happy to show you.
Our workflow automation service covers these jobs. The automations draft work for a person to approve, and they're built in your own accounts, so you own them.

Common questions
What is JAX in Xero?
JAX, short for Just Ask Xero, is Xero's AI finance partner. In Xero and the Xero Accounting app it can create and send invoices and quotes, and answer questions about your numbers and cash flow. Xero still labels it beta.
Does Xero reconcile bank transactions automatically?
Yes, if you turn on auto bank reconciliation for each bank account. JAX only reconciles lines it has high confidence in, and only lines that import after you switch it on. The rest wait for you. Xero still called it a beta in August 2026, so check its work regularly.
Can Xero read bills and receipts automatically?
Yes. Smart Document Capture reads PDF, JPG and PNG files you upload, email in or photograph in the Xero Accounting app, then offers a match or gets a transaction ready for you to check. Xero Central says it's in open beta for all Australian customers.
Does Xero handle Payday Super?
Yes. Auto super works out super in each pay run and pays it through SuperChoice once an authoriser approves the batch. Xero says contributions are typically paid to funds within four business days. The ATO says the fund must receive super within 7 business days after payday, with some exceptions, so set up a second authoriser for when you're away.
Can Claude or ChatGPT change my Xero books?
Xero says its Claude connector is read-only at launch, so Claude can see your numbers but can't change them. Xero said on 16 September 2026 that its ChatGPT plugin is now live, and its launch post doesn't say whether it can make changes or which countries it covers, so check both when you connect it.
When do I need a custom Xero automation?
When the work crosses systems: finished jobs from job, CRM or rostering software into invoices, funded claims, approvals from people who don't use Xero, or reports that mix Xero with other numbers. If everything starts and ends in Xero, its own settings are usually enough.
