ServiceM8 Automations vs Tradify, Fergus and Simpro: What Each One Does on Its Own
What ServiceM8, Tradify, Fergus and Simpro automate on their own, how each connects to Xero and other apps, and when to add n8n or Make on top.
On this page
ServiceM8, Tradify, Fergus and Simpro all automate the basics on their own: quote reminders, booking reminders, invoice reminders, recurring jobs and a sync with Xero or MYOB. ServiceM8, Fergus and Simpro let you choose when follow-ups go out, while Tradify's reminder timing is fixed. ServiceM8, Fergus and Simpro also give outside apps a way in through an API or Zapier, and Tradify doesn't, as far as I could find.
Add n8n or Make (tools that connect your apps and run the steps between them) only for the gaps, like work that crosses two systems or data someone re-types every week.
The short version: switch on your job app's own reminders before you build anything. On Tradify, timesheets don't go to Xero, so that's often the first gap worth fixing.
What do ServiceM8, Tradify, Fergus and Simpro automate on their own?
This table comes from each vendor's own help centre and product pages, plus the Zapier and Make app directories, checked on 24 October 2026. For MYOB, which MYOB product you use matters, so check yours with the vendor.
| Feature | ServiceM8 | Tradify | Fergus | Simpro |
|---|---|---|---|---|
| Quote follow-up | Up to five emails or texts, your timing | Email and text at 7 and 14 days, and 3 days before expiry | Email, SMS or both, before expiry | Rules by status or expiry date |
| Booking reminders | Confirmation and reminder | Appointment texts (paid add-on) | SMS reminders and confirmations | Rules before scheduled dates |
| Invoice reminders | Payment follow-up and statements | Emails around the due date, plus texts | SMS, email or both | Rules around the due date, plus FastCash |
| Review requests | After payment, can link straight to Google | Review link in email templates | Check with the vendor | A rule after payment |
| Recurring work | Recurring Jobs + Reminders add-on | Recurring jobs and service reminders | Recurring jobs and service reminders | Recurring jobs and Maintenance Planner |
| Xero | Invoices on approval, payments both ways | Two-way invoices, payments and credit notes | Invoices on approval, payments come back | Transfer screen, payments both ways |
| MYOB | Yes | Yes | Yes | Yes |
| Timesheets to payroll | Timesheet Sync add-on | Not sent to Xero, CSV export | CSV export | Can send to Xero |
| API and webhooks | API and webhooks | No public API found | API, no webhooks found | API and webhooks |
| Zapier and Make | Both | Neither found | Zapier, no Make app found | Zapier, community Make app |
An API is a door that lets other software read and write your data. A webhook is a message the app sends the moment something happens, like a quote being accepted, so another tool can act straight away.
Tradify vs ServiceM8, and Fergus vs Tradify: which suits which business?
Construction, the ABS industry that covers trades like plumbing and electrical, has more businesses than any other in Australia: 478,651 at 30 June 2026, about 17% of the total, according to the ABS Counts of Australian Businesses released 18 August 2026. In Google Trends Australia over the last 90 days, "fergus" is a breakout search related to "servicem8" (interest jumped sharply), so some owners are comparing the two.
None of these suits everyone. This is who each vendor says it's built for, and who I'd point at it.
- Tradify's How it works page says it's built for trade teams of up to 20 people. It suits a team that wants simple reminders and a two-way Xero sync, without outside apps.
- Fergus's Australian site says it mostly serves crews of 1 to 20. It suits trades that buy a lot of materials, with supplier invoices matched to jobs, and it has an API and a Zapier app.
- ServiceM8 pitches itself at small business, with many features as add-ons you switch on. It suits teams that want quote, payment and review follow-ups built in, plus webhooks for anything extra.
- Simpro's Xero App Store listing says more than 8,500 service, project and maintenance businesses use it. It suits teams with maintenance contracts and someone to set up rules.
List the admin jobs that take your office the most time, then check each help centre for those exact jobs. Our guide to AI automation for tradies covers what's worth automating first.
ServiceM8 automations: what you can switch on
ServiceM8's automations live in its Automation add-on, under Settings, then ServiceM8 Add-ons. The Automation overview lists eight, including booking confirmations and reminders, payment follow-up, quote follow-up, customer feedback and live invoice statements.
Quote follow-up is the one I'd switch on first. ServiceM8's help centre, checked 24 October 2026, says you can set up to five follow-ups by email, SMS or both, each with your own delay. They pause if the customer replies, and stop if the customer accepts online or you move the job to Work Order, Completed or Unsuccessful.
Customer feedback requests go out after the invoice is paid, and can take the customer straight to your Google review page. The Automated Timesheet Sync add-on sends staff clock on and off times to Xero, MYOB Business or QuickBooks Online at the end of each pay period.
On the Xero side, approved invoices go to Xero and payments recorded in Xero come back within 30 minutes. Texts use SMS credits, so check ServiceM8's pricing page before you switch SMS on for everything.
For outside tools, ServiceM8 has an API and event webhooks for quotes sent or accepted, photos added, jobs completed and invoices paid. It also has a Zapier app and a Make app.
Tradify and Xero: what syncs and what doesn't
Quote reminders by email and text go out 7 and 14 days after you send a quote and 3 days before it expires, and stop once it's accepted, declined or expired. The text wording and timing are fixed. Payment reminder emails are off by default on each invoice. Switch them on and the customer gets one 3 days before the due date, on the day, and 3 and 7 days after. Text reminders are a paid add-on.
Recurring jobs can create, schedule or assign work automatically, and Job Service Reports pull in photos from job notes for the customer.
The Xero integration is two-way for invoices, payments and credit notes, and it transfers bills, customers and suppliers to Xero. A payment reconciled in Xero marks the invoice Paid in Tradify. If you send invoices from Tradify, Tradify recommends using its payment reminders and turning off Xero's, because Xero only reminds on invoices it has marked as sent. Logging in to Xero again refreshes customers from Xero, which can overwrite details you only kept in Tradify.
"Tradify timesheets to Xero" is one of Google Australia's top suggestions. Tradify's timesheet article, updated May 2025, says timesheets "are not sent to Xero as part of the Xero Integration". You export them to a CSV file (a plain spreadsheet file) and enter the hours in Xero yourself.
I couldn't find a public API, a Zapier app or a Make app for Tradify on 24 October 2026, so ask Tradify if you need one. Its reports export to CSV, and its invoices and payments land in Xero, which does have an API.
Fergus automations: reminders, service reminders and an open API
Fergus keeps its reminders under Settings, then Reminders. Quote and estimate reminders go by email, SMS or both, on the expiry date or 1, 5, 7, 10 or 14 days before, says a help article from June 2025. Its automatic reminders also send SMS reminders before scheduled jobs, and invoice reminders by SMS, email or both.
Service reminders (help article from March 2026) handle repeat work like an annual service. Fergus emails the customer before the due date with a button to accept, and your team then creates and schedules the job.
Approved invoices sync to Xero, supplier invoices can go across too, and payments in Xero sync back. The Pay Summary Report gathers timesheet entries for payroll and downloads as a CSV. The Integration Centre lists MYOB and supplier links, including Reece in Australia.
Fergus publishes an API covering jobs, quotes, invoices, customers, time entries and a financial summary for each job. I found no webhooks in it, so an outside tool has to check for changes on a schedule. Its Zapier app has triggers for new jobs, fully invoiced jobs, new and modified quotes, and new customers. Fergus says it doesn't build Zaps for customers.
Simpro automation: notifications, the Xero link and webhooks
Simpro runs on rules. Simpro Premium's notifications, in a help guide updated 24 September 2026, can fire on a status change, days before or after a quote expires, days before or after an invoice's due date, and days after an invoice is paid.
SMS is a separate paid service. In Australia, Simpro sends texts from its own registered sender ID (the name shown as the sender), NOREPLY-SP, by default, so customers can't reply to them.
FastCash chases outstanding invoices, scoring customers by payment risk and passing the harder accounts to your team. Ask Simpro which plans include it. The Maintenance Planner covers asset-driven recurring work.
The Xero accounting link (help article updated 28 April 2026) transfers invoices, contacts and timesheets to Xero, and payments both ways. You go to Utilities, then Xero, select the transactions and click Send Selected, so that step stays manual.
Simpro has an API, plus webhooks that an admin sets up under System, then Setup, then API. Its Zapier integration has 12 triggers, including new and updated quotes and jobs, and there's a community-built Make app.
What to automate on top, and when to add n8n or Make
Use the built-in feature first. If ServiceM8's quote follow-up does what you want, don't rebuild it in n8n. Add something on top when work crosses two systems, when you need a rule the app lacks, or when someone re-types the same data every week.
- Quote follow-up across SMS and email, with a person for the big ones. Keep the app's reminders and add the missing rule, like texting the owner when a large quote goes quiet. ServiceM8's quote events and the quote triggers in Fergus's and Simpro's Zapier apps can start it. See our guide to automating quotes and estimates.
- Job photos to the customer. When a job is complete, send the before and after photos with a short note. ServiceM8 sends events for new photos and completed jobs. On Tradify, a Job Service Report can include the job photos, but someone still has to create and email it.
- Review requests. ServiceM8 does this already, and a Simpro notification rule can send your review link after payment. For Tradify and Fergus, watch Xero instead. Xero's webhooks report invoice updates, so a paid invoice can trigger your review link a couple of days later.
- Profit by job in one dashboard. Pull each job's revenue, costs and margin into a Google Sheet or Power BI, and flag jobs under your target. Fergus's API has a financial summary for each job, and Tradify's Job Financial Report downloads as a CSV.
- New enquiries straight into the job app. Website forms can create the customer and job through the Zapier actions ServiceM8, Fergus and Simpro offer. Our speed to lead guide covers replying fast.
If any of this sends texts, check the sender. ACMA's SMS Sender ID Register went live on 1 July 2026, and texts under an unregistered business name are now labelled "Unverified" and grouped into one thread. Tradify says its texts don't use a branded sender ID. If an outside tool will text under your business name, ask the SMS provider to register it.
Zapier is usually enough for one trigger and one action. Make or n8n suits flows with several steps and rules. Both can receive webhooks (see n8n's docs and Make's), and n8n's HTTP Request node can call any app's API. Our Make vs n8n comparison and Zapier alternatives guide cover the trade-offs, and our invoice follow-up guide for tradies on Xero covers overdue invoices.

Worked example: an 8-person plumbing business on Tradify
Say an 8-person plumbing business in Toowoomba: the owner, who still prices the bigger jobs, an office manager and six plumbers. They run Tradify, Xero with Xero Payroll, and Gmail.
- Switch on what Tradify already does. The owner turns on quote reminders by email and text, and payment reminders on every invoice. Because invoices go out from Tradify, he turns Xero's invoice reminders off, as Tradify advises, so nobody gets two. Commercial sites with a yearly service become recurring jobs.
- Fix the timesheet gap. On Monday the office manager exports last week's timesheets to a CSV file in a shared Google Drive folder. n8n matches each plumber to their employee record in Xero Payroll and adds draft timesheets through Xero's Payroll API. She checks and approves them as usual. Any name it can't match, like a new apprentice, comes to her inbox instead of being guessed.
- Add review requests through Xero. When an invoice is marked paid in Xero, n8n waits two days and texts the customer the Google review link, skipping anyone on a "don't ask" list she keeps in a Google Sheet.
- Put job profit in one place. She saves Tradify's Job Financial Report as a CSV in the same folder, and n8n adds it to a Google Sheet that highlights any job under the owner's target margin.
- Leave quote follow-up alone. I couldn't find a public API for Tradify, so an outside tool has no clean way to see when a quote is accepted, and a second chaser could text someone who has already said yes. The owner rings the biggest open quotes himself.
The office manager does less typing on Mondays, and the owner sees job margins without asking for a report.
When it's worth getting help
If your app's own reminders cover you, you don't need anyone. Switch them on and leave it there.
Help is worth it when the fix needs an API, webhooks or payroll data, or when two systems disagree. On Tradify and Xero, I'd start with reporting. I've already mapped out a Tradify to Xero reporting flow in n8n, happy to show you.
Our workflow automation service covers this work, from checking what your job app already does to building the connections in n8n or Make. It's built in your own accounts, so you own it.

Common questions
Does ServiceM8 have automations?
Yes. ServiceM8's Automation add-on covers booking confirmations and reminders, quote follow-ups, payment follow-ups, customer feedback requests, badge follow-ups, form inbox follow-ups and live invoice statements. Quote follow-up can send up to five emails or texts, with timing you set. Texts use SMS credits.
Does Tradify sync with Xero?
Yes. Tradify's Xero integration is two-way for invoices, payments and credit notes, and it transfers bills, customers and suppliers to Xero. When a payment is reconciled in Xero, the matching invoice is marked Paid in Tradify.
Can Tradify send timesheets to Xero?
Not through its Xero integration. Tradify's help centre says timesheets aren't sent to Xero, so you export them to a CSV file and enter the hours in Xero yourself. An automation can read that export and add draft timesheets in Xero Payroll for someone to check and approve.
Is Tradify or ServiceM8 better?
Neither is better for every business. Tradify says it's built for trade teams of up to 20 people, and its reminders are simple, with fixed timing. ServiceM8 lets you set your own follow-up sequences and has an API with webhooks, which matters if you want other tools to act on your jobs. Choose on the admin that takes your office the most time.
Can Simpro automate invoice follow-up?
Yes. Simpro Premium's notifications can email or text customers before or after an invoice's due date, and Simpro's FastCash tool chases outstanding invoices. Ask Simpro which plans include FastCash. Sending invoices to Xero still runs through the accounting link's transfer screen.
Do I need Zapier, Make or n8n with my job app?
Only for the gaps. If your app's own reminders do the job, use them. Add Zapier, Make or n8n when work crosses two systems, like timesheets going into Xero Payroll, or when someone re-types the same data every week.
