AI transcribes and generates the note

When the call ends, the audio is sent to OpenAI Whisper for transcription. Claude then reads the transcript and generates a structured legal file note using your firm's own format - correct heading, acronyms (OBC/IBC, CL, LC, Auth, TPD, etc.), bullet points covering all key facts and action items, and a Key Takeaways section.

Review, then post to your practice management system

Yes - the system adapts to whatever phone setup you already have. We've built it for Microsoft Teams Phone, 3CX, RingCentral, Zoom Phone, and traditional PBX and VoIP systems. No phone system replacement required. We scope the call detection layer to your environment during the build.
The current production version integrates with Actionstep via its REST API. The core pipeline (record, transcribe, summarise, review) is the same regardless of your practice management system. If you use Leap, Smokeball, or another system with a decent API, we can adapt the integration. We'll confirm compatibility on the strategy call.
OpenAI Whisper achieves 95-98% accuracy on clear English speech. For legal names, matter numbers, and technical terms, accuracy can be lower - which is exactly why the system includes a human review step before any note is published. The fee earner reads and edits the generated note before it goes to your practice management system. The AI does the heavy lifting; the lawyer keeps control.
Nothing gets published without the fee earner reviewing and approving it first. The review window lets them edit the text freely before hitting publish. The system is designed to assist, not replace professional judgement - the lawyer is always the last step before anything goes on the file.
Audio is processed via OpenAI Whisper API and Claude API - both of which have enterprise privacy policies and do not use API data for model training by default. Recordings are stored locally on the firm's PCs and auto-deleted after 30 days (configurable). No audio or transcripts are stored on Workvolve servers. Your firm should satisfy itself that these arrangements meet your confidentiality obligations and any specific client undertakings.
We don't guarantee specific outcomes - call volumes, call types, staff adoption, and practice management setup all affect results. What we guarantee is a working, tested system delivered to spec, with a 30-day warranty.
