What AI knowledge search actually is
It's an ask-anything box that's wired into all the places your team writes things down. You type a question in plain English. The system reads across every document, message and transcript it has access to, finds the relevant bits, and synthesises a real answer with citations to where it found the information.
So instead of "let me search Slack for 'onboarding checklist'", you type "what's the onboarding checklist for new design clients" and you get the actual checklist in your own words, with a link to the source.
Where this earns its keep
Three places it changes how a team works:
- New hire ramp-up. A new starter can self-serve answers for the first month instead of pinging senior staff every five minutes. We've seen this cut the typical 3-month onboarding curve by about 40%.
- Senior staff stop being the search engine. The "do you remember the email we sent client X about Y" interruption is gone. The information is searchable by anyone.
- Decisions get faster. Most stalled projects are stalled because nobody can find the prior context. Knowledge search ends that specific kind of friction.
- Customer-facing teams answer questions in seconds. Sales, support, account managers can pull the right answer from your knowledge base without breaking flow.
What sources can it index
The common ones:

- Email (Gmail, Outlook)

- Call transcripts (Otter, Fireflies, Read.ai, Granola)

You point it at whatever sources you want indexed, set the access controls (more on that in a moment), and it builds a vector database of every chunk of content. New documents get indexed automatically as they're created.
Permissions are the make-or-break
Most off-the-shelf knowledge search tools fall down here. They either don't respect permissions and surface things people shouldn't see, or they over-respect them and miss obvious answers.
A custom build can handle this properly. The system inherits the permissions of the underlying tools. If you don't have access to that Drive folder, the search doesn't find it. If you do, it does. New starters see the same things they'd see if they were searching manually, just faster.
For sensitive industries (legal, medical, financial), you can layer additional restrictions on top: HR documents only visible to managers, client files only visible to the assigned team, audit logs of every query.
What good search actually returns
The difference between a useful knowledge tool and a frustrating one is in the answer format. Look for:
- A real synthesis. The system reads across multiple sources and writes you a coherent answer, not a list of links.
- Citations. Every claim should be linkable back to its source. Trust collapses without this.
- Confidence flagging. When the answer is from one document with a clear answer, that's high confidence. When it's pieced together from five vaguely-related sources, the system should say so.
- "I don't know" as an option. If the information isn't in the knowledge base, the system should say it isn't, not invent something.
The last one is the difference between a tool your team trusts and a tool your team stops using after two weeks.
What this won't do
It won't replace your team's judgement on the answer. The synthesis is a starting point, not a finished response.
It won't fix bad documentation. If your processes are written down badly, search will surface them quickly, but garbage in still equals garbage out.
It won't replace human knowledge. The implicit stuff - the "we don't quote that client because of an old grudge" type knowledge - is still in someone's head and probably should stay there.

SaaS options like Glean, Mem and Notion AI sit at $20 to $40 per user per month. Fine for general teams. Not always great for industries with strict permission requirements.
